Privacy Policy

This Privacy Policy explains what information notebook.farm, also known as The Farmer's Notebook (the “Service”), collects, how we use it, and the choices you have. The Service is operated by NeighNeighInc (“we,” “us,” or “our”). By using the Service, you agree to this Policy.
1. Information we collect
Account information
When you sign in, we collect your email address. We support Google sign-in and email magic links on the web, and Apple sign-in on iOS; when you use these, the provider confirms your identity to us and we receive your email address and a user identifier. We do not collect or store passwords.
Property and infrastructure data
This is the heart of the Service and is the data you choose to enter:
- property boundaries and locations, and the geographic coordinates of your land;
- zones you draw (such as pastures, orchards, gardens, or ponds);
- infrastructure assets you place — for example wells, pumps, valves, gates, irrigation, electrical panels, septic, and structures — and how they connect to one another;
- photos you capture or upload;
- voice notes you record;
- maintenance records and notes.
Optional county parcel lookups
If you use “Import from county records,” we send a location or parcel identifier to a public county/state GIS source to retrieve a boundary preview, and we cache the result so the external source is queried at most once per property. You decide whether to accept the result.
Technical information
Like most online services, our infrastructure providers process basic technical data needed to deliver the Service — for example IP address, device and browser type, and request logs — for security, debugging, and reliability.
2. How we use information
- to provide, operate, and maintain the Service and your account;
- to store and display your property and infrastructure data to you;
- to generate AI fault traces, shutdown sequences, and summaries from the data you have entered, when you request them;
- to communicate with you about your account, beta access, and support;
- to secure the Service, prevent abuse, and debug problems;
- to comply with legal obligations.
We do not sell your personal information, and we do not use your property data to advertise to you.
3. Service providers (sub-processors)
We use the following third-party providers to run the Service. They process data on our behalf to deliver their part of the Service:
- Supabase — database, authentication, and file/media storage hosting.
- Vercel — hosting and delivery of the web application.
- Esri — satellite/aerial map imagery on the web (map tiles are requested from Esri as you pan the map).
- Mapbox — map imagery and offline map data for the iOS app.
- Anthropic — AI processing for fault-trace and summary features; the relevant property/asset context for a request is sent to generate a response.
- RevenueCat — planned, not yet in use — for managing iOS subscriptions if and when paid plans launch.
This list reflects our providers as of the date above and may change as the Service evolves; we will keep it current.
4. Cookies and similar technologies
On the web, we use cookies that are strictly necessary to keep you signed in and to maintain your session securely. We do not use advertising or third-party tracking cookies. Because these cookies are required for sign-in to work, disabling them will prevent you from using the Service.
5. Data retention
We keep your account information and the data you enter for as long as your account is active so the Service can function. If you delete specific content, we remove it from active systems; residual copies may persist in encrypted backups for a limited period before being overwritten. If you delete your account, we will delete or de-identify your personal data and Your Content within a reasonable period, except where we must retain it to comply with law or resolve disputes.
6. Your rights and choices
You can access and edit most of your data directly in the Service. You may also request to:
- access a copy of the personal data we hold about you;
- export your data;
- correct inaccurate data;
- delete your account and associated data.
To make a request, contact us at the address below. Depending on where you live, you may have additional rights under your local laws; we will honor applicable rights.
7. Security
We take reasonable measures to protect your information, including encryption in transit, access controls, and row-level database security so that each account can reach only its own data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will delete it.
9. International users
We operate the Service from the United States, and our providers may process and store data in the United States and other countries. By using the Service, you understand your information may be transferred to and processed in the United States.
10. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will take reasonable steps to notify you, such as by email or an in-app notice, and we will update the “Last updated” date above.
11. Governing law
This Policy is governed by the laws of the State of Oregon, USA, without regard to its conflict-of-laws rules.
